AI Chatbot Cost vs Hiring a Support Agent: The Real Numbers

A support agent's salary against an AI assistant's monthly plan, worked through with real salary data and clearly labelled assumptions. Plus what each one actually covers, and why the answer is usually both.

When a shop owner asks about AI chatbot cost vs hiring a support agent, the honest answer is that they're not quite the same purchase. A person can solve a delivery problem, calm an angry customer and agree a wholesale price. An AI assistant can answer "do you have it and how much" at 3 a.m., a thousand times a month, without getting tired. Still, the numbers matter, so let's work them through. Salary figures below come from public sources and are linked. Anything else is an assumption, and we say so.

What a support agent costs

In the US

The US Bureau of Labor Statistics puts the median annual wage for customer service representatives at $44,770 in May 2025, or $21.53 an hour. That's about $3,730 a month in wages alone, before payroll taxes, benefits, equipment and software seats.

In Ukraine

Many of our readers run shops in Ukraine, so here's the local figure. According to Work.ua's salary statistics for chat operators, the median advertised salary for a chat operator in Ukraine was 25,000 UAH in October 2026, based on 206 job postings, with a range from 14,000 to 42,000 UAH. At the National Bank of Ukraine's official rate of about 45.35 UAH per dollar at the end of October 2026, that's roughly $550 a month, before the employer's social contribution and other costs.

What one person covers

A week has 168 hours. One full-time person works about 40 of them, so roughly a quarter of the week. To have someone answering every hour, day and night, you need about four people, more once you count holidays, sick days and turnover. That's simple arithmetic, not a staffing rule, but it explains why most small shops simply don't answer at night.

What an AI assistant costs

AI tools are priced in three main ways, and the model changes the sum a lot.

Pricing model Example (as of October 2026) What drives your bill
Per resolution / outcome Intercom Fin at $0.99 per outcome, per Intercom's pricing page Every chat the AI resolves
Per automated interaction Gorgias AI Agent at $0.90 (annual) or $1.00 (monthly), per Gorgias's pricing page Every chat the AI handles alone
Flat plan with a dialog allowance Vendigit: Starter $20, Growth $65, Business $99 a month The plan you pick

Vendigit's plans, for reference:

Plan Price / month Shops Dialogs / month Channels
Starter $20 1 300 Website widget
Growth $65 3 2,000 Widget + Telegram
Business $99 Unlimited 4,000 Widget + Telegram
Enterprise Custom Unlimited By agreement Widget + Telegram

A dialog counts once per 8 customer messages, and conversations you run in the dashboard simulator don't count. Starter comes with a 14-day free trial, no card. If a month's dialogs run out, customers see your shop's contact details instead of an answer until the next month or an upgrade.

A worked example

Let's take an illustrative shop. These are assumptions, not data:

  • 40 customer chats a day, so about 1,200 a month.
  • Most chats are short: a few messages about stock, price or delivery, within one Vendigit dialog each.
  • About two-thirds are routine product and policy questions. The rest need a person: problems with orders, returns, wholesale.

Option A: people only

To answer during working hours, you need at least one person. In the US that's about $3,730 a month in wages. In Ukraine, about $550. Chats that arrive in the evening, at night or at weekends wait until morning.

To answer around the clock, you need roughly four people: around $14,900 a month in US wages, or around $2,200 at the Ukrainian median, before any employer costs.

Option B: per-resolution AI

If the AI resolves the routine two-thirds, that's about 800 chats. At $0.99 each, that's about $790 a month in AI fees, on top of seats for the people who handle the rest. The bill grows with every busy month, which is fair, but harder to plan.

Option C: flat-plan AI plus a person

1,200 dialogs fit within Vendigit's Growth plan (2,000 dialogs) at $65 a month, which also adds Telegram. The assistant answers every chat first, at any hour, and hands the third that need a person to your manager, with the full conversation. Your one manager now spends the day on the conversations that need judgement, not on typing "yes, in stock."

People only, working hours People only, 24/7 Flat-plan AI + one person
Monthly cost (US wages) ~$3,730 ~$14,900 ~$3,730 + $65
Monthly cost (Ukraine median) ~$550 ~$2,200 ~$550 + $65
Night and weekend chats Wait until morning Answered Answered by AI, hand-offs wait for the manager
Product questions at peak Queue builds up Depends on staffing Answered in seconds

The point isn't that AI replaces your manager. It's that $65 a month covers the hours and the repetitive volume that would otherwise need extra people.

Costs people forget

On the human side

  • Hiring and training. A new operator needs time to learn the catalog. Every new product line is more to learn.
  • Mistakes on routine questions. Typing the same price a hundred times a week is how last month's price ends up in a chat.
  • Peaks. Black Friday and the holidays bring more chats than usual, exactly when hiring is hardest.

On the AI side

  • Your data has to be right. A catalog-grounded assistant is only as accurate as your product feed and your delivery and returns pages. If those are out of date, fix them first. See our guide to the YML product feed.
  • Someone still reads the hand-offs. Plan for a person to pick up complaints, returns and order questions, and to glance through dialogs now and then.
  • Setup time. For Vendigit it's five steps (add the shop, verify the domain, add the widget or Telegram, add the feed, go live), but budget an afternoon to test it on your real questions.

How to run the numbers for your shop

  1. Count last month's chats and note how many arrived outside working hours.
  2. Sort a sample of 50: routine (stock, price, delivery, payment) vs needs a person.
  3. Multiply the routine share by your monthly volume. That's what an assistant can take.
  4. Compare: the cost of the people you'd need to cover those chats and hours, against a plan that covers that volume.
  5. Check the pricing model. If it's per resolution, multiply by your volume. If it's flat, check the dialog allowance.

FAQ

Is an AI chatbot cheaper than a support agent?

For routine, repetitive questions and after-hours coverage, usually yes by a wide margin. For complaints, returns and negotiations, you still need a person. Most shops end up with both.

How much does an AI chatbot cost per conversation?

It depends on the pricing model. Per-resolution tools charge around $0.90 to $1.00 per resolved chat, as of October 2026. On a flat plan like Vendigit's Growth ($65 for 2,000 dialogs), the cost per dialog is about 3 cents at full use.

What happens if I run out of dialogs?

On Vendigit, customers see your shop's contact details instead of an answer until the next month or until you upgrade. You get an email when 80% of the month's dialogs are used.

Can an AI assistant work nights and weekends?

Yes. That's where it saves the most, because those are the hours small shops usually leave unanswered. Questions it shouldn't answer are handed to your manager for the morning.
